REFUND & CANCELLATION POLICY

This document outlines our commitment to transparent business practices and clear service expectations. These terms apply to all consulting packages, retainer agreements, and professional engagements offered by The Task Alchemist, LLC.

General Policy

Due to the strategic, customized, and consultative nature of our services, we maintain a strict no-refund policy across all service offerings. Once an engagement is initiated and payment is made, fees are non-refundable. This policy ensures we can dedicate the necessary strategic resources to each client for the duration of their engagement.

  • All payments for services rendered are final.
  • Unused monthly retainer hours or access time do not roll over to the next billing cycle and do not qualify for a refund.

Cancellation & Service Modifications

To ensure a seamless and professional transition for both parties, all service modifications and cancellations require a minimum written notice via email.

  • Monthly Retainer Services: This includes all Administrative, Risk Management, and Strategic Advisory retainers. We require a 30-day written notice for cancellation or tier modifications. Cancellations will take effect at the end of the billing cycle following the 30-day notice period.
  • Package Upgrades: Can be implemented immediately upon request and will be prorated for the remainder of the current billing cycle.
  • Package Downgrades: Require a 30-day written notice and will take effect at the start of the next billing cycle.
  • Termination of Services: The Task Alchemist reserves the right to terminate services at our discretion if a client violates our terms of service, fails to meet payment obligations, or breaches professional boundaries. In such cases, notice will be provided, and all outstanding balances for services rendered will become due immediately.

Financial Policies

  • Setup Fee: For new retainer clients, a non-refundable setup fee is required to initiate the onboarding process. This fee is applied as a credit to your final month’s invoice upon the successful completion of a minimum 6-month service commitment. Clients who cancel before completing a 6-month commitment forfeit this credit.
  • Early Cancellation: If a retainer service is canceled during the onboarding process (after payment but before strategic work begins), 50% of the setup fee will be refunded to cover administrative costs.
  • Fixed-Fee Projects: For standalone projects like our “Safety Health Check,” a 50% non-refundable deposit is required to secure the engagement. The remaining 50% is due upon delivery of the final report or completion of the project scope.
  • Rush Services: Any applicable rush surcharges are non-refundable. Rush projects require a 50% non-refundable deposit before work begins.
  • Non-Profit Rates: Non-profit pricing requires valid 501(c)(3) documentation. If a client’s non-profit status is not maintained, rates will automatically transition to our standard commercial rates at the next billing cycle, with a 30-day notice provided.

Miscellaneous Terms

  • Third-Party Partnerships: We partner with third-party service providers (e.g., HiTech Lives, FLOWN) to enhance our offerings. Any purchases of affiliate services are subject to the respective partner’s refund and cancellation policies.
  • Business Closures: The Task Alchemist observes standard U.S. business holidays and maintains an annual closure from December 24 through January 1. Regular monthly retainer billing cycles continue without interruption during these periods.
