At The Task Alchemist, we maintain clear and transparent policies regarding refunds and cancellations to ensure the highest quality of service delivery and effective resource allocation for our clients. This policy applies to all our service packages and professional engagements.
Our professional services are provided through multiple flexible options designed to meet diverse business needs. The Task Alchemist offers traditional monthly subscription packages, flexible hourly options, and premium advisory access to accommodate different operational requirements and budget preferences.
Monthly Subscription Packages:
• Essential Support ($550/month for 10 hours)
• Growth Partner ($1,000/month for 20 hours)
• Enterprise Solution ($1,350/month for 30 hours).
Flexible Services:
• Pay-as-You-Go support ($50 monthly access fee + $52/hour)
• Hour Bundles (10-40 hour options with 90-180 day validity)
• Non-Contract Hourly services ($65/hour).
Strategic Advisory Access:
• Direct communication access with three tiers:
• Basic ($150/month)
• Power ($250/month)
• Elite ($400/month)
• Each offering different response times and communication channels.
Specialized Pricing: Non-profit organizations receive reduced rates starting at $25/hour, with volume discounts available based on monthly commitments.
Custom Solutions are available with terms established upon consultation for unique business requirements.
Hour Bundle Expiration: Pre-purchased Hour Bundles must be used within their validity periods (90-180 days depending on bundle size). Expired hours cannot be extended, transferred, or refunded under any circumstances.
Pay-as-You-Go Cancellation: The monthly access fee for Pay-as-You-Go services requires 30-day written notice for cancellation. The access fee is non-refundable once the billing period begins. Any unused hours within the month do not carry forward.
Bundle Transfers: Hour Bundles are non-transferable between clients or projects. Bundles are tied to the purchasing client and cannot be shared or reassigned.
Validity Period Extensions: Hour Bundle validity periods cannot be extended due to client unavailability, business closures, or other circumstances. We recommend purchasing bundles only when you can utilize the hours within the specified timeframe.
Cancellation Terms: Strategic Advisory Access subscriptions require 30-day written notice for cancellation. Cancellations take effect at the end of the current billing cycle.
Refund Policy: Due to the personalized and immediate nature of Strategic Advisory Access, no refunds are provided for advisory services. Monthly fees are non-refundable once the billing period begins.
Unused Access: Strategic Advisory Access is based on availability and response time guarantees rather than hour allocations. Unused “access time” does not roll over between billing periods or qualify for refunds.
Service Modifications: Clients may upgrade or downgrade their Strategic Advisory Access level with 30-day notice, effective at the next billing cycle.
Eligibility Verification: Non-profit pricing requires valid 501(c)(3) documentation provided before service commencement. Clients must maintain active non-profit status throughout the service period.
Rate Adjustments: If monthly hour commitments change, affecting volume discount tiers, new rates apply to the following billing cycle with 30-day notice. Rate increases due to reduced volume commitments are not retroactive.
Documentation Requirements: Annual verification of non-profit status may be requested. Failure to provide current documentation may result in conversion to standard commercial rates.
Service Transition: If non-profit status is lost or documentation cannot be provided, services will transition to standard commercial rates at the next billing cycle with 30-day notice.
Setup Fee Application: The $250 setup fee ($125 for non-profits) is applied as a credit to your final month of service when you complete a minimum 6-month service commitment.
Early Cancellation: Clients canceling services before completing 6 months forfeit the setup fee credit, and the full setup fee becomes due immediately.
Service Cancellation During Onboarding: If services are canceled during the onboarding process (before work begins), 50% of the setup fee will be refunded to cover administrative costs incurred.
Multiple Service Setup: Clients adding additional services (VA + Safety combinations) pay only one setup fee, applied to the primary service selected.
Commitment Changes: Volume discounts for non-profit services are based on monthly hour commitments. If actual usage falls below the committed tier for two consecutive months, pricing will adjust to the appropriate tier with 30-day notice.
Mid-Month Adjustments: Volume discount rates are locked for the current billing cycle. Changes in hour usage within a month do not affect that month’s rate but may impact future month pricing.
Discount Eligibility: Volume discounts apply only to regular monthly commitments, not to one-time projects or irregular service periods.
Rate Protection: Clients maintaining consistent volume commitments for 6+ months receive 30-day notice before any rate adjustments, even if usage temporarily decreases.
Due to the personalized and digital nature of our professional services, we maintain a strict no-refund policy across all service offerings. Once services are purchased, they are non-refundable. This includes all monthly service packages, Strategic Advisory Access subscriptions, Hour Bundles, Pay-as-You-Go access fees, rush fees, setup fees, and project deposits.
Hour Bundles: Pre-purchased hours must be used within their validity periods (90-180 days) and cannot be refunded, extended, or transferred after expiration.
Strategic Advisory Access: Monthly advisory fees are non-refundable once the billing period begins, as this service provides immediate access and availability rather than specific hour allocations.
Setup Fees: Applied as credit to final month of service for clients completing minimum 6-month commitments. Early cancellation forfeits setup fee credit.
Unused monthly service hours do not roll over to subsequent billing periods and are not eligible for refunds.
To ensure timely delivery of your projects, The Task Alchemist offers expedited delivery options with the following guidelines:
Rush Delivery Surcharges
All rush services incur a surcharge calculated as a percentage of your service package’s base hourly rate:
• Same-Day Delivery: 100% surcharge
• Next-Day Delivery: 50% surcharge
• Two-Day Delivery: 25% surcharge
Deposit and Payment Terms
Rush projects require a 50% deposit before work commencement. Project deposits may be refunded only within 24 hours of payment and exclusively if work has not commenced. All rush surcharges are non-refundable regardless of project status or cancellation.
Service Rates
Hourly rates vary based on your selected service package. The specific hourly rate and total project cost, including any applicable rush surcharges, will be confirmed during the consultation and proposal process.
To cancel any service package, clients must:
Submit written notice at least 10 days before the next billing cycle via email to [email protected]. The cancellation request should include account information and the reason for cancellation. Our team will provide confirmation of the cancellation receipt.
Service level modifications are managed with the same attention to quality as our primary services. Clients may modify their service arrangements with appropriate notice periods to ensure seamless transitions.
Package Upgrades: May be implemented immediately upon request and prorated for the remainder of the billing cycle across all service types including monthly packages and Strategic Advisory Access.
Package Downgrades: Require 30-day written notice and take effect at the start of the next billing cycle. This applies to monthly packages, Strategic Advisory Access levels, and transitions between service models.
Service Type Changes: Clients may transition between monthly packages, flexible services, and advisory access with 30-day notice. Setup fees may apply for significant service restructuring.
Non-Profit Rate Adjustments: Volume discount tiers adjust based on monthly hour commitments with 30-day notice for rate changes.
As our services are carefully allocated to ensure availability for all clients, different policies apply based on service type:
Monthly Packages: Unused service hours cannot be banked, transferred, or carried forward to subsequent months.

This policy structure helps us maintain consistent service quality and resource availability for all clients across our diverse service offerings.
While we maintain a strict no-refund policy, we recognize that extraordinary circumstances may warrant special consideration. Such circumstances may include natural disasters, acts of God, severe accidents or emergencies, or other catastrophic events. Each situation will be evaluated individually by our management team.
The Task Alchemist partners with various third-party service providers (such as FLOWN, Dubsado, Asana, and others) to enhance our service offerings. While we carefully select our partners to ensure quality service delivery:
- Purchases of affiliate partner services are subject to the respective partner’s refund and cancellation policies
- The Task Alchemist is not responsible for the refund or cancellation terms of affiliated services
- Any issues with third-party services should be addressed directly with the service provider
- Our partnership status with third-party services may change without notice
- Commission earned through affiliate partnerships is non-refundable
The Task Alchemist observes standard business holidays and maintains an annual closure period from December 24 through January 1. During these periods:
- Service hours are not prorated for holiday closures
- Regular billing cycles continue without interruption
- Clients retain access to completed work and documentation
Our partnership with HiTech Lives, LLC enables us to maintain high service standards. While our services are non-refundable, we are committed to client satisfaction and will address any quality concerns promptly through our revision process.
The Task Alchemist reserves the right to terminate services at our discretion across all service types if:
• A client violates our terms of service
• Payment obligations are not met
• Professional boundaries are breached
• Service requests fall outside our scope of practice
• Non-profit clients fail to maintain required documentation or eligibility
Notice and Access: Written notice will be provided, and service access will continue through the end of the paid period for monthly services. Hour Bundle access terminates immediately upon violation, with no refund for unused hours.
Strategic Advisory Access: Immediate termination of communication privileges while maintaining professional transition support through the current billing period.
Final Billing: All outstanding balances become due immediately upon termination, including any setup fees forfeited due to early cancellation.
